Confidentiality

How MeterBack protects contracts, invoices, usage records and other confidential commercial information.

Core commitment: customer contracts, invoices, usage data and recovery material are treated as confidential commercial information, not marketing content.

1. What is confidential

Customer Confidential Information includes non-public information supplied to MeterBack or generated from it, including contracts, amendments, pricing, invoices, credits, usage, licences, project records, delivery dockets, timesheets, hire or off-hire records, supplier correspondence, financial records, internal identifiers, recovery findings and related working material.

MeterBack will use Customer Confidential Information only as reasonably necessary to:

MeterBack will not intentionally disclose Customer Confidential Information to another customer or publish identifiable customer information without permission.

Information may be made available to service providers, contractors or professional advisers where reasonably necessary to deliver the service, provided appropriate confidentiality, privacy or contractual protections apply.

4. AI and automation

MeterBack may use AI and automated systems as part of document extraction, comparison, classification and analysis. Identifiable customer source documents are not intentionally used to create public datasets, public case studies or a public MeterBack model.

Where third-party AI or document-processing services are used, MeterBack will use business-grade services and available controls intended to protect confidential customer material. MeterBack will not knowingly authorise general public-model training on identifiable Customer Confidential Information without the customer's agreement.

5. Internal learning

MeterBack may retain de-identified or aggregated learnings such as billing-rule patterns, failure modes, audit logic and statistical outcomes, provided those learnings do not reasonably identify the customer or disclose the customer's confidential commercial terms.

6. Security and access

Access to customer material is limited to systems and people reasonably required for the engagement. MeterBack uses access-controlled business services and seeks to avoid unnecessary copying or distribution of customer files.

7. Retention and deletion

Customer source files are normally retained through the engagement and for up to 90 days after closure, unless a longer period is agreed or reasonably required for an unresolved action, legal requirement, dispute, accounting record or security purpose.

On reasonable request, MeterBack will delete customer source material earlier where practical and lawful. Provider backups may expire according to the relevant provider's normal backup cycle.

If MeterBack is legally required to disclose Customer Confidential Information, it will, where lawful and practicable, limit the disclosure to what is required and notify the customer before disclosure.

10. Security or confidentiality incidents

If MeterBack becomes aware of a material unauthorised disclosure or security incident affecting Customer Confidential Information, it will take reasonable steps to contain and assess the incident and will notify the customer where appropriate or legally required.

11. Publicity

MeterBack will not use the customer's name, logo, identifiable findings, savings figures or case details in advertising, case studies or public benchmarking without permission.

12. Separate NDA

This commitment applies by default to MeterBack engagements. If a customer requires a separate mutual or one-way non-disclosure agreement, that can be considered as part of the engagement.
